A press kit , often referred to as a media kit in a business environment, is a package of pre-packaged promotional materials that provides information about a person, company, organization or cause and that is distributed to members media for promotional use. The press kit, or media kit as it is sometimes known, is often distributed to announce the release or to press conferences.

Terminology

Traditionally the term, "press kit", refers to a set of documents, photographs and other relevant materials that are packaged together, and designed to be sent to newspapers or magazines as part of a Public relations or promotion organization. Recently, as the print media circulation and reader level declined, marketing and public relations people began to use the broader term, "media tools", so it now refers to promotional materials distributed to any media outlet.

A PR media kit should not be confused with an advertising media kit developed by a newspaper or magazine for distribution to potential advertisers. The advertising media kit usually consists of documents that outline the editorial philosophy of print media, detailed profiles of media audiences, fare cards and information about the special features to come.

Usage

The press tool or media kit is the subject of Public Relations (PR), and is an integral part of the company's media relations activities.

Press devices are usually used for:

  • Product launch
  • Launch of new company
  • Mergers and acquisitions
  • News conference
  • Industrial event announcements, exhibitions or trade fairs
  • Accompany press releases or media releases
  • Notify the media of any events that are newsworthy within the scope of the company's activities

General components

There are no universal guidelines for elements that should be included in the press kit or media kit, but the following are common components:

  • Backgrounder with historical information about the company or individual.
  • A fact sheet that lists certain features, statistics, or benefits.
  • Biographies of key executives, individuals, artists, etc.
  • Previous press coverage
  • Photos or other images (high resolution) of top executives, logos, products, etc.
  • Press releases detailing the current news, media kits sent in reference to
  • Media contact information (usually from public relations department or mouthpiece)
  • A CD, DVD, software title, video, etc. which is appropriate for the release sender
  • Collateral advertising, such as: postcards, flyers, newspaper ads, etc.

Musicians, including orchestras, bands and choir groups use media kits when launching new albums or when performing on special occasions. The press band equipment often has its own unique components, including:

  • Band biography/Band History
  • CD or DVD
  • Videos
  • Photos - color or monotony (monotony (black and white) for newspapers, colors for other media)
  • Press article/review
  • Essential achievements
  • Contact information for band labels, managers, public relations, other representatives, and links to social media pages
  • Discography (all previous albums and/or singles released by band)
  • [Optional] Equipment list (included when equipment is delivered to music venue)

Electronic appliance (EPK)

Electronic press tools (EPKs) are equivalent press devices in electronic form. EPKs usually take the form of websites or e-mail, although they are also known to be on CD and DVD. The first known EPK, as we know it today, was aired live on the web on January 8, 1995, and was created and given the proper name of an electronic press kit or EPK by Andre Gray, the inventor of online music sales certification and the winner of The Johannes Gutenberg Inventor Prize. Gray's EPK displays bio, audio clips, videos, photos, press, set lists, basic technical requirements, and calendars as well as featuring R & B and songwriter Aaron Hall as the first artist to make EPKs made on their behalf.

Distribution format

Many companies make their electronic press tools available through the company's website, where the kit is offered in PDF format. Electronic press kits can be provided in one of the following formats:

  • CD
  • DVD
  • Videotape or audio
  • Internet (e.g., E-mail, WWW, newsgroups, etc.)
  • USB flash drive

Contents

The contents of EPK media devices are similar to other types of media kits, but they may include various audio-visual materials. The decision about what will be included in the EPK media kit will depend on the industry and target audience. As a general guide, EPKs in the music industry may include the following:

  • Biography
  • Music clips (audio files, CDs or DVDs)
  • High resolution press photos
  • Upcoming tour dates
  • Promotional videos
  • Offline website or website links, especially links to relevant social media and music websites
  • Reviews and media interviews
  • "RIIL" or a list of "recommended if you like" (list of artists with similar styles or genres)
  • Contact information
  • High resolution, color photos or key executable images, company logos, products, etc.
